A few things to keep in mind.
- Count passengers by hotel and leg, not only by invitation list.
- Work backwards from the time guests need to be seated.
- Include loading and turnaround when considering a shuttle loop.
- Publish a clear final departure and choose one coordinator.
Count the people who will actually ride.
Your invitation list and shuttle list are not the same. Ask which guests plan to use transportation, where they are staying and whether they need both directions. Record a working estimate for each hotel and update it as plans settle.
Separate the wedding party from the guest shuttle if they follow a different schedule. Someone who travels to the ceremony with the couple may need a place on the last hotel return; count that person on the correct leg.
Give every movement its own row.
A useful shuttle sheet identifies who is traveling, where they board, where they are going and the required arrival. Add the contact at each end and any boarding or luggage needs.
This is an operational plan, not the message you send every guest. Keep the detailed sheet with your planner and Danaro; give passengers only the instructions for their own journey.
| Movement | Passengers | Time to agree | Location to confirm |
|---|---|---|---|
| Hotel to ceremony | Riders from that hotel | Ready-to-board and arrival | Hotel loading entrance |
| Ceremony to reception | Guests moving between venues | Departure after the ceremony | Vehicle-accessible meeting point |
| Early return | Guests leaving before the finish | One clear departure | Reception boarding point |
| Final hotel return | Remaining guests and any added riders | Last departure and correct date | Hotel drop-off entrance |
A seat count does not prove a shuttle loop will work.
A loop includes driving to the venue, unloading, returning to the hotel and boarding the next group. Compare the whole cycle with the time available before the ceremony. A smaller vehicle making more trips is useful only when all riders can arrive within the required window.
For example, two hotel groups may be numerically small enough for successive runs but too far apart to share the same vehicle before the ceremony. Ask Danaro to review the route and timing together instead of choosing on capacity alone.
Confirm the place, not just the address.
Ask the hotel and venue which entrance can accommodate the planned vehicle. Include a clear description in guest instructions and tell the coordinator where to gather the group.
Luggage on arrival or departure days changes the plan. So can mobility needs or extra time for boarding. Bring those details to Danaro before the vehicle arrangement is confirmed.
- Exact hotel and venue entrances
- Passenger count on the busiest leg
- Bags and any boarding requirements
- Named coordinator and current contact number
- Agreed process for changes
Give the final departure its own attention.
Decide whether an early return is needed as well as the last run. Publish the final departure clearly and have the event coordinator help guests find the boarding point.
Review the shuttle windows, service time and any extra-time terms in the written arrangement. Keep one current itinerary so a last-minute group message does not quietly create a different transportation plan.
